Policy for Canceled/Missed Appointments

VERY IMPORTANT: TO AVOID BEING CHARGED FOR CANCELED OR MISSED APPOINTMENTS

In order to provide all of our patients the best care possible in a timely fashion, it is essential that we keep missed appointments to a minimum. When appointments are canceled or missed without enough notice, we cannot offer that time to other patients who are eager to be seen. Unfortunately, the increasing frequency of canceled or missed appointments without enough notice has required that we implement the following policy.

POLICY

Appropriate notice from all patients is required to re-schedule or cancel appointments. Failure to provide the required notice to re-schedule or cancel an appointment will, at the providers discretion, result in a charge as referenced below on the patient's account. Patients will be given notification of Shasta Orthopaedics policy regarding Canceled or "No-Show" Appointments. The Canceled or "No-Show" Appointment charge will not be billed to the patient's insurance company. Failure to pay the Canceled or "No-Show" Appointment fee may result in referral to professional collection agency.

All Canceled or "No-Show" Appointments will be documented in the patient's medical record.

Medical care will not be withheld for medical emergencies. Two (2) Canceled or "No-Show" Appointments may result in the patient being discharged from the practice.

Appointment Type, Required Notice and Canceled or "No-Show" Appointment Charge:

  • Office Visits/Consultation / 1 full business day notice required / $35.00 Canceled or "No-Show" Appointment Charge
  • Physical Therapy / 1 full business day notice required / $15.00 Canceled or "No-Show" Appointment Charge
  • EMG/NCS Studies / 3 full business day notice required / $150.00 Canceled or "No-Show" Appointment Charge
  • Injections and Surgeries / 5 full business day notice required / $150.00 Canceled or "No-Show" Appointment Charge
  • MRI or Arthrogram / 1 full business day notice required / $150.00 Canceled or "No-Show" Appointment Charge

PROCEDURE

I. Notification - All patients will be notified of our and Canceled or "No-Show" Appointment policy through:

  • A. Verbal notification at the time of making their appointment, and at appointment confirmation.
  • B. Written notification in Shasta Orthopaedics Credit Policy presented as a component of our new patient registration packet
  • C. Written notification in Shasta Orthopaedics Credit Policy published on our web-site.

II. Documentation - All missed appointments will be documented in the patients' medical record and in the appointment scheduling application. Missed appointments will be referenced as "Canceled", "Canceled W/O Appropriate Notice" or "No-Show".

III. Fee - Only Canceled or "No-Show" Appointment events are subject to the applicable charge as referenced above. Charges for Canceled or "No-Show" Appointment events will reference "Canceled W/O Appropriate Notice" or "No-Show" the scheduled appointment date and applicable charge as referenced above.

IV. Exceptions - Exceptions to this policy can only be authorized by a manager, administrator of physician.
